Register with IFSO

All international faculty and scholars must register with IFSO. You can register with IFSO through International Scholar Dossier (ISD), the same database you used to initiate your J-1/H-1B/E-3/TN process.

In order to register, you will have to provide your U.S. address, phone number, and email as well as upload immigration documents.

By completing this registration process, you are agreeing to allow IFSO staff to use your information in order to find and view your online I-94 record. 

J-1 Scholars: 
  • Your SEVIS record can only be validated after registration.
  • If your SEVIS record is not validated within 30 days of your program start date, it will cancel itself.
  • Your SEVIS record must also be validated before you can apply for a Social Security Number or Drivers License. 
  • Please Note: By completing this registration process, you are agreeing that you have read the back of your DS-2019 (J-1s only) and agree to all statements there. 

Step 1: Sign into ISD

To register, you must sign into ISD: https://isd-visitor.ucsd.edu/

Step 2: Enter Your U.S. Contact Information

Note

Everytime you move will be required to update the address within 10 days of moving.
  • After logging into International Scholar Dossier (ISD), select Edit Personal Information in the left-side column.
  • Select the Address section in the horizontal menu at the top and click Edit on the Local Address type option.
    • Local Address Information:
      • Enter Current U.S. Address. This is where you are living now. 
        • Remember to include your apartment or unit number. Most addresses near UC San Diego will have an apartment/unit number.
      • Hotels: If you are staying at a hotel, please add the hotel address. Do not include a room number or hotel name. Once you move, please update the address within 10 days of moving.
      • Campus Address: 9500 Gilman Dr. address will NOT be accepted unless you are living on on-campus housing such as I-House. Inculde the name of the location, building, and room number. 
        • Example: I-House, Kathmandu 408 M-1
    • U.S Phone Number
      • The Department of State requires a U.S. telephone number. Include only digits; your entry should only consist of 10 digits.
        • No spaces, dashes or symbols.
        • Format example: 1112223344
      • If you do not have a U.S. telephone number you can provide us with a temporary number from a friend, hotel or a number from your UC San Diego department. Once you have obtained a local U.S. telephone number you can update the number in ISD.
    • Local Email
      • Include your UC San Diego-issued email address.
        • If you do not have a UC San Diego email, provide a personal email address (gmail, hotmail, yahoo, etc.) at which we can reach you.
        • We do not recommend using emails from other institutions incase the other institution discontinues your access.
        • Please note that UC San Diego emails have been getting blocked/bouncebacks for “@hanmail.net” emails, avoid using that email when possible.
  • Click Save and continue to Step 3.

Step 3: Update your I-94 Information

Note

If you just entered the U.S., you can find your I-94 arrival record online on the CBP website. If you just changed your visa status within the U.S. (ex. to J-1 or H-1B status), you can find your I-94 record attached to the bottom of your I-797 approval notice. This attached I-94 record is the most recent and replaces the online version, which may have information from your previous entry to the U.S.
  • Select the Passport and Visa section of ISD.
  • Update the fields in the I-94 section: 
    • Last arrival date: enter the date you arrived to the U.S. This will be listed on your I-94.
    • I-94 Number: enter the Admission (I-94) Record Number listed on your I-94.
    • I-94 Immigration Status: enter the Class of Admission listed on your I-94.
    • I-94 Immigration Status Exp. Date: 
      • J-1 Scholars will not have a specific I-94 Admit Until Date. You can leave the I-94 Exp date blank. 
      • H-1B/E-3/TN Employees can find their I-94 Admit Until Date on their H-1B/E-3/TN approval notice (bottom left) if they changed status within the U.S. or on the CBP website if they just entered the U.S. in that status.
    • D/S:
      • J-1 Scholars the I-94 should say D/S (Duration of Status). Select Yes or No. If your I-94 Admit Until Date does not say D/S, contact your IFSO advisor.
      • H-1B/E-3/TN Employees leave this blank.
    • A Number: include if you have applied for Permanent Residency & are given an Alien Reg Number.
  • Update only the fields listed below in the Prior Visa History section: 
    • Is the faculty/scholar currently in the US?: Select Yes - as you have already arrived.
    • If in the US, what is the immigration status?: Indicate your current nonimmigrant status inside the U.S. For example: J-1 Exchange Visitor, H-1B, E-3, TN.
    • Is the faculty/scholar subject to the 2-year (212e) residency requirement?: Select Yes/No - This is listed on your DS-2019 and Visa
  • Click Save and continue to Step 4.

Step 4: Upload Required Documents

In order to submit required immigration documents along with your registration, click on Attach Documents in the left-side colulmn. For more detailed instructions regarding how to upload documents to ISD, view our Upload/Attach Documents in ISD instructions.

Photos taken on your phone are accecpted. If you have an iPhone, you can hold down on your notes app and select, "Scan Document." You could also use a phone app called CamScanner.

Here you should upload copies of the following:
  • ALL Statuses (J-1/H-1B/E-3/TN):
    • I-94 arrival record found on the CBP website (for your last entry into the U.S.) or attached on your I-797 Change of Status Approval Notice
    • Entry stamp in your passport (if given one) - This was issued at Point of Entry.
    • Visa for your last entry into the U.S. (except Canadians) - This was issued by the Consulate.
    • Form I-515A (if given one)
  • J-1's should also include:
    • DS-2019 - with consulate signature
      • Unless granted a J-1 change of status within the U.S. If so, upload your I-797 Change of Status Approval Notice.
      • Unless completing registration as part of Leave of Absense return. If you are returning from a Leave of Absense, upload the DS-2019 you used to enter the U.S. which should contain a valid travel signature.
    • If you are a J-1 Student Intern, you will also need to upload your DS-7002 T/IPP form that was sent to you along with your DS-2019. This form should have signatures from you, your IFSO advisor, and your supervisor at UCSD. 
      • Note: During COVID-19 social distancing, if it is not possible for the supervisor to sign the DS-7002 T/IPP, it is recommended that the supervisor write a statement that they approve of the information on the DS-7002 T/IPP and send it to you electronically. Upload the written statement along with your DS-7002 T/IPP form.
  • Continue to Step 5

Note

If we do not receive the documents listed above, the registration is considered incomplete. For J-1 scholar's we cannot validate your SEVIS record until we receive all documents requested above.

Step 5: J-2 Dependent Registration, If Any (Not needed for H-4)

If you have J-2 dependents entering the U.S. with the J-1, please also upload their immigration documents.

Click on Attach Documents in the left-side colulmn. For more detailed instructions regarding how to upload documents to ISD, view our Upload/Attach Documents in ISD instructions.

Upload copies of the following for each J-2:

  • I-94 arrival record found on the CBP website (for your last entry into the U.S.) or attached on your I-797 Change of Status Approval Notice
  • DS-2019 -with consulate signature Unless the J-2 was granted a change of status within the U.S. If so, upload their I-797 Change of Status Approval Notice.
  • Entry stamp in your passport (if given one) - This was issued at Point of Entry.
  • Visa for your last entry into the U.S. (except Canadians) - This was issued by the Consulate.
  • Form I-515A (if given one)

If you have J-2 dependents who have not entered the U.S with the J-1, please update only the following in the Depedent-General section of ISD.

  • Is the faculty/scholar family currently in the US?: Select No if they have not entered the U.S.
  • If the spouse will accompany the faculty/scholar later, when?: Add the date the J-2 dependent is expected to arrive.

Once your J-2 enters the U.S. (after the J-1 has registered) you must register their arrival. Update only the following in the Dependent-General section of ISD.

  • Is the faculty/scholar family currently in the US?:  Update this to Yes once the J-2 has entered the U.S.
  • If the spouse will accompany the faculty/scholar later, when?: Leave this blank.

Upload copies of the following for each J-2:

  • I-94 arrival record found on the CBP website (for your last entry into the U.S.) or attached on your I-797 Change of Status Approval Notice
  • DS-2019 -with consulate signature 
  • Entry stamp in your passport (if given one) - This was issued at Point of Entry.
  • Visa for your last entry into the U.S. (except Canadians) - This was issued by the Consulate.
  • Form I-515A (if given one)

Continue to Step 6

Step 6: Submit Registration to IFSO

After all documents have been uploaded.

  • Click on Review and Submit to Department in the left-side column.
  • Verify all information is correct, and click Submit.
  • This information and documentation will be sent to IFSO
    • The processing stage will say Pending Department Review however, the request will go to IFSO.
    • J-1 scholars: will have their SEVIS record validated within 5 business days of IFSO receiving a complete registration.
    • If anything is missing, IFSO will contact you.
  • Once we have processed the registration, IFSO will update the processing stage in ISD will be changed to a Clear/Blank processing stage.
