Maintain your ISD Record with IFSO

Although you may not currently have an active request that IFSO is working on, it is necessary to always keep your ISD record updated with the most current information. Having your ISD record updated with the most current information will help you maintain compliance with your immigration status and keep IFSO informed of any changes that could affect your current or future immigration status.

Updating your information in other campus based systems (i.e. UcPath, Human Resources, RSAS, VGS) does not notify IFSO.

Read through the events listed below. If any apply to you, follow the instructions on how to report the information to IFSO.

Contact Information Changes

In between requests you may need to update address or contact information with IFSO. You can notify IFSO of any address or contact information changes via ISD.

Please note that all international faculty and scholars must notify IFSO of address changes within 10 days of the information changing, per immigration regulations

Received a New Passport

Your ISD record should be updated if you have obtained a new Passport.

  • In the Passport and Visa Section of ISD, update the Passport section by including:
    • The new passport number,
    • New expiry date,
    • Country of issuance.

Do not forget to hit save.

  • Upload the new Passport Biographical page into the ISD Documents Section.
  • Make sure to Submit. Click on Review and Submit to Department in the left-side column. Verify all information is correct, and click Submit. This information and documentation will be sent to IFSO. The processing stage will say Pending Department Review however, the request will go to IFSO.
    • If anything is missing, IFSO will contact you.
  • Once we have processed your new passport information, IFSO will update the processing stage in ISD to a Clear/Blank processing stage.

Early Departure/Separation from UC San Diego

If you are ending your appointment at UC San Diego early, your visa status must be shortened accordingly. This can be done by updating your end date in the Appointment Section of your ISD record. For detailed instructions visit our Separations and Early Departures page.

If you are ending your appointment at UC San Diego as planned and on the same end date noted on your DS-2019 or USCIS approval notice, then no action is needed. IFSO will automatically close out your record.

Began 212e Waiver Process (for J-1 only)

Your ISD record should be updated if any of the following occur:

Received the U.S. Department of State Waiver Recommendation.
  • In the Passport and Visa Section of ISD, update the Prior Visa History response from No to Yes for the question "Have you received a U.S. Dept of State waiver recommendation letter?"
    • Do not forget to hit save.
  • Upload your U.S. Department of State Waiver Recommendation to the ISD Documents Section.
  • Make sure to Submit. Click on Review and Submit to Department in the left-side column. Verify all information is correct, and click Submit. This information and documentation will be sent to IFSO. The processing stage will say Pending Department Review however, the request will go to IFSO.
    • If anything is missing, IFSO will contact you.
  • Once we have processed the Waiver Recommendation information, IFSO will update the processing stage in ISD to a Clear/Blank processing stage.

 

Received the I-612 Waiver Approval Notice.
  •  In the Passport and Visa Section of ISD, update the Prior Visa History response from No to Yes for the question "Have you received the I-612 USCIS waiver approval notice?"
    • Do not forget to hit save.
  • Upload your I-612 Waiver Approal Notice issued by USCIS to the ISD Documents Section.
  • Make sure to Submit. Click on Review and Submit to Department in the left-side column. Verify all information is correct, and click Submit. This information and documentation will be sent to IFSO. The processing stage will say Pending Department Review however, the request will go to IFSO.
    • If anything is missing, IFSO will contact you.
  • Once we have processed the I-612 Waiver information, IFSO will update the processing stage in ISD to a Clear/Blank processing stage.

Applied for Permanent Residency (Pending)

Your ISD record should be updated if you have applied for Permanent Residency I-130/I-140 and/or I-485 (include supplemental forms I-765 and I-131, if submitted).

  • In the Passport and Visa Section of ISD, update the Prior Visa History response from No to Yes for the question "Does the faculty/scholar have a petition for permanent residency pending (I-130, I-140, I-485)?"
    • Do not forget to hit save.
  • Upload all Receipt and Approval notices associated with your permanent residency submission, such as I-130/I-140 and/or I-485 (include supplemental forms I-765 and I-131, if submitted) to the ISD Documents Section.
  • Make sure to Submit. Click on Review and Submit to Department in the left-side column. Verify all information is correct, and click Submit. This information and documentation will be sent to IFSO. The processing stage will say Pending Department Review however, the request will go to IFSO.
    • If anything is missing, IFSO will contact you.
  • Once we have processed the permanent residency information, IFSO will update the processing stage in ISD to a Clear/Blank processing stage.

Obtained Permanent Residency (Green Card Issued)

Once you become a Permanent Resident, your record is closed out with IFSO, even if you will continue to work with UC San Diego. IFSO is also required to end your current status (ex. J-1, H-1B, etc.) as you are now a Permanent Resident of the U.S. For detailed instructions visit our Notify IFSO of Change to Permanent Residency page.
